How to automate birthday greeting

To automate a birthday greeting it will be necessary to create a virtual profile with the Anniversary function. In this way, the platform will segment the contacts that should receive this communication. Follow this step by step to configure the system.

In the database, the anniversary date of the contacts must be stored in the following format: DD/MM/YYYY (2 digits for the day, 2 digits for the month and 4 digits for the year).

1. Create Virtual Profile

Create the virtual profile that will segment the contacts that should receive the shipment according to their anniversary date.

Go to the Manage Contacts module
Enter the Virtual Profile option
Click on the New Profile button
Fill in the name of the new virtual profile and press OK
Select the profile: it is the regular profile (database) where the field you want to segment is located. For example: Date of birth.

Configure the rules of the new virtual profile

Select the field of the database that contains the information of the birthday date
In the next box, display the arrow and select Apply function
Select the type of date according to the objective:
Anniversary: takes into account the day and the month
Anniversary month: takes into account the month
Exact date: takes into account day, month and year
Next [N] days
Last [N] days
Within more than [N] days
More than [N] days ago
Complete with a “0” the last field.

For birthday shipments we always recommend the Anniversary optionUse this field to indicate that the email is sent on the exact day of the anniversary or on days before or after.

Other examples

If you want to send the email one day before the birthday, you must complete the last field with the value (-1). The negative value represents the number of days prior to the exact date that appears in the database.

On the contrary, if you want the communication to be delivered one day later, enter the number (1). This will add a day to the exact date in the database.

Finish

Choose one of the following options:

Preview: if you want to see the contacts that are included in the profile based on the search parameters.
Save: to save the new profile.
Cancel: to exit without saving the changes.

2. Schedule shipment

Set up a send with automatic repetition

Go to the Schedule Shipments module
Enter New Configuration
Complete the delivery configuration

Configure profiles and audience

Select the virtual profile created for the automatic delivery of birthdays

Set automatic daily repeat

On the Shipping Options tab:

Activate the function of Enable repeat delivery
Delivery schedule: select the option Daily (Every 1 day)
Set the shipping schedule

Once the shipment is configured, select the Approve and Send option

In this way, the shipment will be processed automatically every day and, since the virtual profile is selected, it will only be sent when there is data that matches the indicated date.
